Privacy Policy
Apronfold is a training app for restaurant and bar staff, provided by Alpine Glow Limited, doing business as Apronfold ("we", "us"). This policy explains what information the app and our website (apronfold.com) collect, who can see it, and how you can delete it.
How accounts work
You can look around Apronfold and try a quiz without an account. To save your progress you need an account, and accounts are created by invitation: your employer (or whoever set up your business in Apronfold) gives you an invite code. Your employer's managers decide who has access.
Who is responsible for your information
Apronfold is provided to businesses. Your employer decides who is invited, which managers can see what, and what content goes into the app. For the information that comes from your use of the app at work, Alpine Glow Limited, doing business as Apronfold handles it on behalf of your employer to provide the service, and uses it only for that purpose and as this policy describes.
For questions about what your employer does with your work records, such as training, checklists, or pre-shift results, ask your employer. For anything about how the app itself handles information, ask us.
What we collect
- Account details: your email address, your name if you enter one, and your password. Your password is stored by our sign-in provider in a protected form that we cannot read.
- Work details: which business you belong to, your role (employee or manager), and any extra permissions a manager has given you.
- Learning activity: your quiz attempts, the answers you chose, scores and levels, and which lessons you have completed.
- Invite details: the name and email address your employer entered when they added you to their team.
- Checklist activity: when you tick off a closing or cleaning list item, we record the task, the time, and your name and emoji. When a manager approves a list, we record their name, the time, and any note they add.
- Training details, if your employer gives you a training plan: the positions you were given, your start date, who you report to, which tasks you have finished or had marked "not needed", who signed each one off and when, notes a trainer wrote about what to practice, and the date you completed training.
- Pre-shift quiz activity: the questions you were asked each day, whether you got them right, and when you did the quiz. Managers can also mark who is working a shift, and we keep those lists so the quiz only expects the people on shift.
- Tastings: the notes and ratings you choose to log about dishes and drinks on your business’s menu.
- Menu allergen records: when a manager confirms the allergens in a dish, we record the dish, what they confirmed, their name, and the time. A business can also write its own allergy reminder, which staff see on the menu search.
- On the web version: your sign-in is kept in your browser’s storage on your device so you stay signed in. Signing out removes it.
- Crash and error reports, if the app fails: the error, your device type, and the app version, without your quiz answers or work records. We use these only to fix problems.
- Your profile emoji, if you choose one.
- Content your business adds: for example photos of menus or handbooks, checklists, and Employee Manual or Menu content. Managers upload documents, PDFs, or photos using the camera or photo library, and only when they choose to add one. A menu, checklist, or handbook that a manager uploads to be read into a draft is also filed there, so everyone on your team can open it.
We do not collect your location, contacts, or advertising identifiers. We do not use advertising or analytics trackers, we do not show ads, and we do not sell your information or share it for advertising.
How we use it
- To run the app: sign you in, save your progress, and show your results.
- To let your managers see how the team is learning, and to show friendly standings among coworkers.
- To email you an invite when your employer adds you to their team.
- To run training plans: show your progress, let trainers and managers sign off tasks, and keep a record of each sign-off and of when training was completed.
- To send managers a weekly summary email of their team’s activity, which includes who is in training and how far along they are.
- To read a menu, checklist, or employee handbook that a manager uploads (a PDF or photos) into a draft they review before anything is added, and to draft quiz questions from a business’s menu, and lessons and quiz questions from its handbook, for a manager to review.
- To run the pre-shift quiz and show managers who has done it, and to let staff search the menu and see which dishes a manager has confirmed for allergens.
- To keep the app secure, fix problems (including with crash and error reports), and answer support requests.
Who can see your information
- Your coworkers: on standings, your name, emoji, and quiz results; on checklists, your name, emoji, and the time you completed a task.
- Your managers: your progress and results, including which questions you miss, and the weekly summary.
- Your trainers and managers: your training plan and progress, the sign-offs and notes in your training log, and a note if they have marked that you may need extra support. Coworkers who are not trainers or managers cannot see your training.
- We (Alpine Glow Limited, doing business as Apronfold) can access the data to provide support and keep the service running, and we only do so when we need to.
- People at other businesses cannot see your information. Each business’s data is kept separate.
Website visitors
If you visit our website, apronfold.com, this is what happens with your information:
- Email: if you choose to email us for a demo, a trial, pricing, or a consulting inquiry, we receive your email address and what you write, and we use them only to reply to you.
- Standard technical logs: our website host may process your IP address, browser and device details, the pages you request, and the time of your visit, in order to deliver and secure the site.
- Google Fonts: the website loads its typefaces from Google Fonts, so your browser contacts Google to load them.
- Instagram: if you click our Instagram link, you leave our website and Instagram handles your information under its own policy.
At the time of this update, our website has no contact form, account sign-up, payment checkout, analytics tracker, advertising pixel, or location tracking, and does not set marketing cookies. It does not collect card or bank details. If that changes, we will update this policy first.
Companies that help us run the app
We use a small number of providers who handle information on our behalf and only to provide their service:
- Supabase: hosts accounts, the database, and file storage, in the United States (East US, North Virginia).
- Cloudflare: delivers the web version of the app, so it may process technical information such as your IP address and the pages you request.
- Sentry: receives crash and error reports so we can find and fix problems.
- Stripe: processes business subscription payments (see Payments below).
- Resend: sends the weekly summary email to managers, and the invite email when your employer adds you.
- Anthropic: when a manager uploads a menu, checklist, or employee handbook to be read into a draft, asks for quiz questions to be drafted from their menu, or asks for suggested allergens for dishes, that file or menu content (including dish names, descriptions, and ingredients) is sent to Anthropic’s Claude AI service. Suggested allergens are only suggestions; a manager checks and confirms them. Apronfold doesn’t keep a separate copy for this. The original is saved in your business’s own Documents so your team can open it, and a manager can remove it at any time. Anthropic handles what it receives under its own terms and privacy policy. Only managers can do this, and only when they choose to.
- Apple: distributes the app through the App Store and TestFlight.
Payments
Businesses pay for Apronfold, not the people who use it. When Stripe payment is available and a business pays by card or bank transfer, Stripe processes the payment and receives the payment and billing details needed to complete it. We do not store full card or bank account numbers on our own servers. Stripe handles what it receives under its own privacy policy. Subscriptions, invoices, refunds, and billing-portal activity create billing records for the business, such as its contact name, email, and what it paid.
Where your information is kept
Your information is stored in the United States. If you use the app from another country, your information is sent to and kept in the United States.
Deleting your account
You can delete your account at any time in the app: tap Me at the bottom to open My Profile, and choose Delete my account.
Deleting your account removes your sign-in, your profile, your quiz and lesson history, and your own training plan, progress and log. Checklist records stay with the business so it keeps a record that the work was done, but your name and emoji on them are replaced with "Former team member". Documents you uploaded for the business stay with the business.
If you signed off tasks or wrote notes in someone else’s training record, your name stays on those entries so that their record stays accurate.
If you are the only manager of a business, you cannot delete your account yourself, because the business would be left with no one to manage it. Contact us and we will help.
A manager can also turn off an employee’s access without deleting their data. If you want your data deleted, use the steps above or contact us.
Backups may keep a copy for a limited time after deletion before they are overwritten.
How long we keep information
We keep your information while your account is active and your business uses the app. When you delete your account, we delete it as described above.
Your choices
You can ask to see the information we hold about you, to correct it, or to delete it. You can change your name and emoji in the app and delete your account yourself (see above). For anything else, contact us and we will reply within 45 days. We may need to confirm it is you, and for work records that belong to your employer we may refer you to them.
If you live somewhere with privacy rights, such as California or Colorado, you have the rights that law gives you, and we will honor them. We do not sell your personal information and do not share it for advertising.
Security
Information is sent over encrypted connections, and the app is built so that each business can only reach its own data. Sign-in on the web version is protected by encrypted connections and security settings that stop other sites from reading it. No system is perfectly secure, so we cannot guarantee absolute security.
Children
Apronfold is intended for working adults and is not directed at anyone under 16. We do not knowingly collect information from children.
Changes to this policy
We may update this policy. When we do, we will change the date at the top, and for significant changes we will tell you in the app.
